Account & Data Deletion Policy

1. Introduction

At Doxa Spectrum, we are committed to protecting the privacy and data of all our users. This page outlines how users can delete their account and the associated data, what happens when deletion is requested, and how we handle user information in accordance with privacy and compliance standards.

2. How to Delete Your Account

Users can request deletion of their Doxa Spectrum account directly through the app by navigating to:

App Settings > Delete Account

Upon tapping the “Delete Account” button:

  • A confirmation prompt will appear.
  • Users must confirm the deletion request.
  • Once confirmed, the deletion process is initiated and becomes irreversible
  • If you encounter issues deleting your account from the app, please email our support team at [email protected] with the subject line “Account Deletion Request”. Ensure you include your registered email address or username.

    3. What Happens When You Delete Your Account

    Upon confirmation of deletion:

  • Your Profile Information (e.g., name, phone number, email address, gender, employment details, salary information) is permanently deleted.
  • Payroll Records and Employment Data tied to your user ID are anonymized or deleted depending on compliance obligations and contractual agreements with your employer.
  • Activity Logs and Usage Data will be purged or anonymized for analytical purposes.
  • Connected Perks and Benefits Data, including benefits-in-kind usage history, is removed from your account and delinked from your profile.
  • Banking or Payment Details (if any) linked for payroll purposes are deleted securely from our systems, unless retention is required by financial regulations (in which case they are anonymized).
  • Please note that we may retain certain transaction or audit records for legal, regulatory, and compliance purposes for a limited period even after your account is deleted. These records will be retained in a secure and anonymized form and cannot be used to personally identify you.

    4. Data We Delete Upon Account Deletion

    Here is a list of data types that are permanently deleted:

  • Full Name
  • Email Address
  • Phone Number
  • Date of Birth
  • Gender
  • National Identification Numbers (if collected)
  • Employment and Company Details
  • Salary and Payroll Breakdown
  • Allowances and Deductions
  • Tax Identification Details
  • Access Logs
  • App Usage Data (linked to your account)
  • Saved Benefits and Perks Preferences
  • Connected Bank Details
  • Uploaded Documents (Payslips, ID verification, etc.)
  • These data sets are stripped of all personal identifiers and are kept only for internal reporting or legal audits.

    5. Timeline for Deletion

  • Immediate action is taken once the user confirms account deletion.
  • Full data erasure or anonymization is completed within 7 business days.
  • Users will receive a confirmation email once the deletion process is complete.
